Office Manager – Germany

JOB DESCRIPTION

We are seeking a dedicated and highly skilled Office Manager  to join our team in Germany. This role (based at our German office in Nuremberg) will report to General Manager and CEO. It is a real 360 degrees role and will be responsible for overseeing and managing the daily operations of the office. This position is a point of reference for customers, employees, suppliers and for oversee point of contact for office personnel and external partners and supports senior management with administrative duties. The ideal candidate is highly organized, a problem-solver, and skilled in multitasking.

KEY RESPONSIBILITIES

  • Office Operations: Oversee the general operations of the office, including administration, logistics and shippuings, office supplies, equipment maintenance, and cleanliness of the workspace.
  • Administrative Support: Provide an administrative assistance management. This includes (but not limited), manage account payable and receiveble, manage travel expenses process, scheduling meetings, managing calendars, preparing reports, handling communications, ensuring effective connections with the HQ and other subsidiaries.
  • Team Coordination: Serve as a point of contact for office staff, assisting with any office-related issues or requests. Coordinate team activities and office events.
  • HR administration: Manage and coordinate hirings, assist with onboarding new employees, payroll process, people administation management, terminations, maintaining employee records, and ensuring compliance with company policies and procedures
  • Facilities Management: Manage office space, coordinating ensuring maintanence, and ensuring health and safety compliance.
  • Budget and Financial Management: Assist in managing office/overall budgets, including tracking expenses and ensuring that spending remains within company guidelines.
  • Vendor Relations: Manage relationships with external vendors, including negotiating contracts for office supplies, maintenance services, and other necessary business services.
  • Communication: Act as the liaison between staff and upper management, ensuring clear and effective communication within the office.
  • Technology and Equipment Support: Oversee the procurement and maintenance of office technology and equipment, ensuring functionality and troubleshooting when needed.
  • Health & Safety Compliance: Ensure that the office is compliant with health and safety regulations, and that workplace safety procedures are followed

REQUIREMENTS

  • Education: High school diploma, associate’s or bachelor’s degree in business administration or related field.
  • Experience: a proven track record and experience in office management, administrative support, or a similar role.
  • Technical Skills: Knowledge of local administration rules, Familiarity with budgeting and expense tracking, proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of office equipment and software management. Experience in HR compliance, health and safety.
  • Organizational Skills: Strong ability to multitask and manage various projects simultaneously with attention to detail.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with staff and external partners.
  • Problem-Solving Skills: Able to handle unexpected situations and come up with effective solutions quickly.
  • Time Management: Ability to prioritize tasks effectively to ensure the office runs smoothly.
  • Language: German native speaker and English fluent level (C1/C2) mandatory. Italian will be a plus.
